Productivity Coach

The Productivity Coach allows you to analyze productivity, manage time, and receive useful insights.

The Productivity Coach widget shows the user's progress for the week and month. The monthly progress displays only the days when the application was in use during the month.

 

By default, MakerTime shows activities for the current week, but the user can choose the needed week by using the Calendar.

What is productivity Bucket and Category?

Two main notions of the Productivity Coach are Productivity Buckets and Category. Productivity Buckets are four large areas into which all tracked work activities are grouped:

  • Producing: Doing the core activities related to your role (for example, writing code if you are a developer).
  • Research: Activities such as e-learning, searching online, and looking at the Knowledge Base.
  • Collaboration: Communicating with peers and colleagues to make sure work is integrated into a larger system (for example, meetings and chats via Microsoft Teams, and emails via Outlook).
  • Other: Non-work activities like online shopping, messaging, or reading news websites.

Productivity Buckets are used for the upper grouping level, to make this grouping more specific we also use such notion as Category.

A Category is an extension within the buckets that allows grouping activities more accurately for a particular case, e.g., to make the grouping more suitable to own role on the project.

 

The user can change the bucket and category independently. How to is described here.

To view the tooltip with detailed information hover the mouse over the activity on the chart.

  1. date and time interval of the selected activity

  10. the upward arrow shows increased time spent in a specific category compared to the previous week and the downward arrow indicates less time spent.

General rules for displaying activities on the Weekly Summary dashboard:
  • The minimal duration of separate activity that is displayed is 2 minutes. Activities with a shorter duration are combined and displayed as one activity.
  • The color of this combined activity will be the same as the color of the bucket of the Top activity.
  • Activity with a duration of more than 5 minutes is displayed as a separate color block.
  • Two activities with an interval between them of more than 2 minutes are displayed separately. If the interval is less than 2 minutes, activities will be displayed next to each other.
  • For a separate activity % from the total duration is 100%. For combined activity, % from total duration is calculated proportionally between all components.

Interactions
  • Hover over the Bucket Distribution pie chart to view the tooltip with detailed data about Top Tools usage in the specific Category.
  • Click on the pie chart to filter the activity for the selected Category in the grid.

Activity Summary tab: Categories, Apps & URLs, Time Sessions

These 3 sections provide detailed information about focused activities (such as session time, duration, category) and grouped them by different perspectives:

  • The Apps & URLs section grouped all activities by exact activity name and duration, thus the first activity in the list is the activity with a maximum duration for the day/week.
  • The Categories section provides information about activities grouped by existing categories.
  • The Time Session section orders activities by session time during the day/week.
 

Use the arrow to expand details.

To change bucket/category, delete the activity, or add activity to the blocklist just press three dots on the right side and choose the needed option.



Settings


Blocklist

The Blocklist is a part of the MakerTime settings that allows to add applications or URLs to the blocklist, and they will never be recorded by the app.

There are 3 tabs in the Blocklist section: an All tab that includes both Apps and URLs that are added to the blocklist, and separate tabs for only Applications and only URLs.

How to add an item to the blocklist?

There are two ways to add an item to the blocklist:

  1. In the Settings page:

Settings → Blocklist → Add Exclusion → Select an item from the drop-down

  1. Directly from Productivity Coach page in the App & URL section:

Select the item → Press 3 dots on the right of the item → Add to a block list

How to delete the item from the block list?

To delete the item from the blocklist, press the 'bin' symbol on the right from the item in the Blocklist section on the Settings page.

Only already tracked (displayed in the application) apps/URLs could be added to the blocklist. There is no possibility to add it manually at the moment.

Time that has been already tracked for the Apps/URLs that have been added to the blocklist will display on the dashboard after adding it to the block list (but further tracking for the apps/URLs will be not available).

To delete it from the application data, press three dots on the right side of the activity in the Apps & URLs, Categories, or Time Sessions section and select Delete.

Work Time Schedule

The Work Time Schedule is a part of MakerTime settings that allows the configuration of the user's personal weekly schedule. This schedule is displayed on the Weekly Summary dashboard.

This settings allow:

  • select the time interval when the user prefers to work between (on the Weekly Summary dashboard it's displayed as Start and End Time);
  • select the total amount of hours that the user plans to work ( on the Weekly Summary dashboard it's displayed as a threshold of working hours);
  • select the working days for the user (on the Weekly Summary dashboard it's displayed as a gray fill with stripes for the non-working days).

Focus Time Schedule

The Focus Time Schedule is a part of settings that allows to set or adjust user's desired focus time sessions to minimize distractions and enhance productivity.

During an enabled focus session user can:

  • manage the focus session by using the Focus Time widget;
  • review and analyze the focus intervals on the Weekly Summary dashboard;
  • Set the Do not Disturb status in MS Teams.

This widget allows:

  • quickly manage the breaks during application usage with options for 15-minute, 30-minute, and 1-hour pauses;
  • start and stop of focus sessions: the duration of which depends upon the user's selection in the Focus Time Schedule settings;
  • direct application access from the tray;
  • exit from the application by using the Quit button.
Note:

The tracking of activities will stop after quitting.
